Controlled Functionality
Control what features of the DAM solution users can use on the back end of your system so that they have the tools appropriate to their role wherever they are in the world. Enabling a quicker, more productive way to work in collaboration.
Contributor level allows users to upload media, with the solution’s automated systems making it easy for them to get their metadata applied quickly and correctly.
Moderator level allows users to catalogue, check and alter metadata and publish to the collection. You may also choose Moderator level access for the selection/approval of the content that has been uploaded.
Admin level allows a user to set up and edit User Profiles, giving ultimate authority over the functions and features each member can use on the back end and what users can access on the front end.
The project in Sydney would likely see the photographers as contributors, the designers as moderators, the administrator in London publishing the finished content and giving access to that part of the collection to the external partners.
Version Control
Digital assets frequently change and are updated over their useful life. Version control allows you to go back to any previous version of a digital asset. Also used to store many different versions of the same asset in one place, making search results less cluttered and ensuring users have all the versions of an asset that they need in one place.
In our Sydney photography project, the designers would be able to revert to any previous version of the design that they or colleagues have created as they progress through the design. Life is also made simpler as the most recent version of the logos can be easily identified and used, should they need different file types for different platforms these would all be found in the same place with clear captioning making them easy to discern and differentiate.
Controlled Access
Decide exactly who, how and when internal and external parties can access your digital assets. Simple to set up and easy to change, apply to individuals or to groups of users at one time.
Simple to add new members to the relevant pre-existing user groups at the click of a button, giving them access to the parts of your collection that they need instantaneously. If you need different criteria than an existing user group contains it is simply another couple of clicks to create a completely new profile.
Choose exactly which parts of your collection each user can access, so that you can restrict sensitive content and provide all users with the correct digital assets that they need to do their job.
In our Sydney photography project, perhaps the photographers are freelance and both your design and marketing is performed by external agencies. In this case the photographers do not need access to the front end of the system at all as they are contributing assets rather than accessing them, the marketing and design agencies can be given access to the parts of the collection that house the images taken and any associated assets that they require such as logos or brand guidelines. Once the project is finalised the external partners could then also be given the access they need to the finished files.
Secure Sharing
