DAM Holy Grail

The DAM holy grail can be seen as a challenge, so let’s start with a DAM definition:

A good Digital Asset Management (DAM) solution will enable you to create a central repository where you can accurately store, organise, find, retrieve share, and distribute digital assets in a meaningful and controlled way that compliments your organisation’s business objectives.

This centralised approach highlights the inadequacies of having all your digital assets spread around on various cloud storage solutions, memory devices or even a central network drive.

Fundamental aspects to consider in managing and organising your digital assets:

Assess your assets – what are they?

It is important that you correctly identify what constitutes a valuable digital asset worthy of inclusion in an asset base within your organisation. Consider how and where they are created, minimum quality criteria and for what purpose they were created and can be repurposed.

How should they be accurately tagged?

What are the different attributes that help identify and describe each different type of digital asset that you wish to add to your collection? Would you benefit from a Controlled Vocabulary specific to your business and the sector that you operate in? This is an essential requirement to help you achieving your DAM Holy Grail as there is little point in adding assets to a DAM that is not accurately tagged!

What is your DAM workflow in relation to your business needs?

Define a workflow that closely matches your business operating needs and see how best that could be incorporated within your DAM processes.

Security & Control

What level of user privileges and rights control do you need to apply to meet with your business requirements and any regulatory needs? This is another aspect that will help you on achieving your DAM Holy Grail – having control over who/what type of users have access to your assets is important.

Assess & Analyse use of your digital assets

Create a means of measuring the value of your digital assets as they are used across the organisation. This should also assist you in planning/budgeting for your on-going acquisition of digital assets.

Once you have considered the above you should be well on your way to understanding what you need in a DAM solution.

In essence, a DAM should allow you to;

  • Create a single source of access to your digital assets.
  • Enable you and everyone within your organisation to help co-ordinate your processes and workflow to meet with your business needs as well as those of your external partners and associates.
  • Evolve and adapt to your growing/changing requirements.

Remember, a file can only become a truly valuable asset when it is easily accessible to those that need it within an organisation!
